This is a hybrid/remote position requiring at least three days on-site in our Santa Rosa facility per week, Monday-Thursday.

ABOUT THE ROLE:

 

The Sr. Human Resources Coordinator provides operational and administrative support across all areas of Human Resources. This role serves as a key point of support for the HR team and employees, helping facilitate day-to-day HR operations, onboarding activities, employee programs, communications, records management, and special projects. The ideal candidate is highly organized, detail-oriented, customer-service focused, and comfortable managing multiple priorities while maintaining confidentiality.

Responsibilities

WHAT YOU'LL DO:

 

Employee Support & HR Administration

  • Monitor and help manage the HR shared inbox, routing inquiries and requests to the appropriate HR team members.
  • Serve as an initial point of contact for employee and manager questions.
  • Open, sort, and distribute incoming mail and HR-related correspondence.
  • Assist with HR communications, employee announcements, and company-wide memos and update quarterly slides and work with IT.
  • Support site and company-wide events, as needed.
  • Maintain employee files and ensure documentation is organized, accurate, and compliant.
  • Support general HR administrative activities and special projects as assigned.

 

 

Onboarding & Employee Experience

  • Coordinate new hire onboarding activities and support new hire orientations.
  • Prepare onboarding materials and ensure completion of required documentation.
  • Enter new hire information in UKG for Temporary Employees.
  • Send monthly onboarding communications and reminders to new employees.
  • Register employees in company-sponsored programs such as Noom, WalkingSpree, and other employee initiatives.
  • Partner with hiring managers and HR team members to help deliver a positive employee experience.
  • Support offboarding activities, and temporary worker administration.

 

HR Compliance & Documentation

  • Create and maintain HR Standard Operating Procedures (SOPs) and process documentation using Scribe and other documentation tools.
  • Update and maintain organizational charts and reporting structures using Visio or similar software.
  • Support document rebranding, formatting, and template standardization efforts.
  • Assist with employee handbook updates and policy revisions.
  • Help maintain and organize HR forms, policies, guides and department resources.
  • Administratively support employee status changes.

 

Employee Engagement

  • Prepare, launch, and administer employee surveys.
  • Compile survey results and assist with reporting and analysis.
  • Assist with company events and employee experience programs as needed.

 

Records Management

  • Organize and digitize personnel files and other HR documentation and records.
  • Ensure paper records are properly scanned, indexed, and maintained electronically.
  • Maintain confidential HR files in accordance with company policies and legal requirements.
  • Support file management and document retention activities across the HR function.

Qualifications

WHAT YOU'LL BRING:

 

Education:

  • Associates degree or one+ years of equivalent experience in Human Resources.

 

Experience:

  • Minimum of 2 years of Human Resources experience, preferably in California.
  • Experience supporting pre-employment and employee onboarding, HR administration, benefits, and compliance processes.
  • Experience maintaining employee files and HR records.
  • Experience working with HRIS systems.
  • Experience supporting handbook maintenance, job descriptions, and organizational charts preferred.
  • Strong working knowledge of California employment laws, wage and hour requirements, leave and accommodation basics, and HR best practices

Skills/Competencies:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with HRIS systems such as UKG, ADP, Workday, or similar.
  • Proficiency with Visio or equivalent organizational chart software.
  • Ability to create surveys and analyze basic survey results.
  • Excellent written and verbal communication skills.
  • Strong customer service orientation.
  • Exceptional attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise good judgment.
  • Strong organizational and project management skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Self-starter with a proactive approach to problem solving.

The compensation package includes:

  • Base salary of $70K/yr-$80K/yr 
  • Discretionary bonus
  • Equity participation as approved by Board of Directors (4-year vesting schedule)
