The Accounts Payable Specialist will be responsible for Accounts Payable and supports General Accounting, including monthly closing and reporting.

Responsibilities

  • Full cycle accounts payable including: processing accounts payable invoice; invoice approval, data entry, PO matching and preparing for check issue
  • Maintain complete vendor files on all open or paid invoices
  • Process, distribute, or void checks
  • Resolve payment and invoice questions through phone contact with vendors and purchasing department
  • Audit and process credit card and out-of-pocket expense reports in Concur
  • Maintain various accounts payable related reports and files, including; Supplier Information form, W-9 form, vendor information through QAD, and others.
  • Organize and expedite the flow of accounting information to and from other related departments
  • Run and verify cash requirement report, check register and related payable reports
  • Maintain accounts payable vendor information module in computer
  • Some preparation of monthly journal entries/accrual
  • Analysis and reconciliation of general ledger accounts and preparation of Ad-hoc reports for management 1099 year-end processing
  • Perform other duties as assigned

Qualifications

  • Must be able to work on assignments that are moderately complex in nature in which judgment is required in resolving problems and making routine recommendations.
  • Normally receives no instruction on routine work, general instruction on new assignments.

Education:

  • Requires a high school diploma, AA degree or equivalent

Experience:

  • Minimum of 2 to 5 years related experience

Equipment Use & Abilities Required:

 

 

Equipment Use:   Copy machines, fax machines, calculators and personal computers and computer terminals.

Computer Skills: Software proficiency in Microsoft Office Suite.

Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, legal documents or governmental regulations.   Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

 

WORK ENVIRONMENT & PHYSICAL DEMANDS OF THE JOB:

 

The noise level in the work environment is usually quiet. While performing the duties of this job, the employee is regularly required to sit; use hands and fingers; talk or hear. The employee is occasionally required to reach with hands and arms and to move within and between the buildings. A computer terminal is used to access, input, and retrieve data. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision.
