Job Scope:

 

The AP Supervisor is responsible for the supervision of AP staff, all aspects of the AP function and clearly documenting a variety of business processes within AP such as invoice processing, payment processing, supplier creation/modification, etc.  Assist in the documentation of processes within the finance and accounting function of the Company.  The creation of processes should be aligned with the update of our SOX controls.

Responsibilities

Major Duties:

 

  • In accordance with Endologix’s policies and applicable laws and regulations: Select, reward, discipline, train and develop employees.
  • Plan and direct performance of AP staff members as assigned: Motivate employees, assist in goal setting, provide development opportunities and performance feedback, address complaints and resolve problems.
  • Supervise the AP function and team, by recommending improvements and instituting streamlined procedures.
  • Ensure compliance with internal policies and external legislation/regulations.
  • Document work flows, processes and procedures for various business cycles across the finance and accounting group.
  • Produce training guides and SOP/DOP documents.
  • Serve as the main process owner for functions within accounting ensuring compliance with SOX controls.
  • Support the Audit manager with financial audit inquiries as needed.
  • Serve as functional owner on process improvement projects, including upgrades and enhancements to software and systems.

Additional Duties:

 

  • Managing full cycle AP process (including interacting with internal and external AP partners and suppliers).
  • Perform personnel actions and oversees day-to-day AP operations.
  • Develop and train AP staff and approving managers to AP policies and procedures.  Enforce compliance to procedures.
  • Posting accounts payable invoices as well as preparing accounts payable register and related reports.
  • Create and update AP metrics and reports on a periodic basis.
  • Performing AP month-end close process.
  • Supervise year-end 1099 process, year-end procedures and assist in T&E reimbursements.
  • Analyzing and reconciling GL accounts as well as entering AP transactions into the QAD system.
  • Lead project implementations and AP initiatives.
  • Perform other duties as assigned.

Qualifications

  • Excellent written and verbal communication skills
  • Strong knowledge of business processes (accounting process knowledge a plus)
  • Proficiency with Microsoft Word and Visio (or equivalent process mapping software)
  • Extreme attention to detail and high level of professionalism
  • Works independently with limited supervisory oversight required
  • Medical Device company experience is a plus

Education:

  • Bachelor’s degree

Experience:

  • 5+ years of experience in a dynamic work
    environment

Equipment Use & Abilities Required:

 

Equipment Use:   Copy machines, fax machines, calculators and personal computers and computer terminals.

Computer Skills: Software proficiency in Microsoft Office Suite.

Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, legal documents or governmental regulations.   Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

 

 

WORK ENVIRONMENT & PHYSICAL DEMANDS OF THE JOB:

 

The noise level in the work environment is usually quiet. While performing the duties of this job, the employee is regularly required to sit; use hands and fingers; talk or hear. The employee is occasionally required to reach with hands and arms and to move within and between the buildings. A computer terminal is used to access, input, and retrieve data. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision.
