This position is responsible for providing a wide range of administrative and program support to the US Sales department.
Provide word processing and other clerical support (e.g. faxing, copying, expense report processing and filing) as directed by the VP-US Sales
Coordinate & schedule Aortic Innovation Summit visits in Irvine and Santa Rosa
Ensuring proper communication to sales team before, during and following up Aortic Innovation Summits
Ensure PowerPoint slide deck is aligned for each AIS program and speakers
Coordinate with program speakers are available and planning on participating
Organizing presentation folders for the visit
Making and adjusting travel arrangements for visiting Doctors
Setting up the conference room and making food arrangements
Ensure proper signage and customer names are displayed during AIS programs
Coordinate and maintain up-to-date Sales Credentialing system for the US Sales Force
Provide an expertise into the various vendor credentialing systems to efficiently & effectively process credentials
Develop & maintain a database of credentialing to proactively manage expirations of rep credentials and any new requirements for credentialing
Coordinate and maintain a database for comprehensive records of rep training, to include:
Maintain Sales Training files
Identifying and rectifying any incomplete required training records
Insure proper coordination of this record keeping with the required Regulatory oversight at Endologix
Provide support for Regional PEVAR programs
Coordinate scheduling, travel, hotel, and food arrangements
Distribute all required Training Materials to Trainees and track the receipt of this content
Track and report the progress of all trainees in the Certification Training Program
Modify training materials as directed by the Director, Professional Development and maintain a comprehensive version control system for all content curricula
Coordinate certifications with Abbott Vascular
Coordinate and Support US Sales and Sales Management Meetings
Work with US Sales and Marketing leadership to coordinate US Sales functions and meetings
Schedule and manage planning meetings for sales meetings
Both on-site and off-site meetings
Help coordinate attendees, hotel arrangements and meeting spaces
Coordinate and maintain Radiation Safety monitoring program and equipment
Work with US Sales and Marketing to coordinate distribution of demo supplies for US Sales team
Work with Global Medical Affairs to coordinate meeting space, logistics and support for sales new hire programs in Irvine
Maintain calendar for VP-US Sales
Other duties may be assigned as deemed necessary by VP-US Sales
Proficiency with the following systems: Microsoft Word, Excel, PowerPoint; Concur; SalesForce.com; RepTrax, VCS, and other Vendor Credentialing systems; Document Change Orders (DCO) systems; Standard Operating Procedures (SOP) systems
Extensive knowledge of administrative support procedures and office equipment.

High school diploma
Minimum of 2 years of related experience with a High School Diploma
